How to Source Custom Hinges from Vietnam

A useful hinge quotation starts with a controlled specification rather than a product photo alone. The checklist below helps a buyer prepare comparable inputs before discussing samples, production and packing.

1. Define the RFQ scope

State whether the request is for an existing item, a modified item or production to a new drawing. Include the intended application and destination market so requirements can be reviewed in context.

  • Drawing, product code or physical sample reference
  • Estimated trial quantity and expected repeat-order pattern
  • Target use, assembly method and destination country

2. Lock the technical inputs

List only specifications that have been approved internally. If a value is still open, mark it for supplier review instead of allowing each quotation to assume something different.

  • Material and grade
  • Overall dimensions, thickness, hole pattern and critical tolerances
  • Pin, washer or bearing details when relevant
  • Surface finish, color reference and appearance standard

3. Agree the sample and approval plan

Clarify whether a sample is needed, which characteristics will be checked and who will approve it. Tooling, sample timing and production timing should be confirmed only after the drawing or sample has been reviewed.

  • Sample quantity and purpose
  • Dimensions and functional points to inspect
  • Approved reference for finish and appearance
  • How drawing revisions will be recorded

4. Specify packing and shipment inputs

Packing affects product protection, carton handling and quotation scope. Confirm inner packing, carton limits, labels, shipping marks and pallet requirements before production.

  • Pieces per bag, box and master carton
  • Barcode, label and carton-mark artwork
  • Carton size or weight limits
  • Pallet and documentation requirements for the selected shipping arrangement

5. Compare quotations on the same scope

Check inclusions and exclusions rather than comparing the unit price alone. Record any open assumptions before selecting a sample or order path.

  • Material, finish and packing included in the price
  • Tooling and sample charges
  • Quantity basis, payment terms and delivery arrangement
  • Validity period and treatment of later specification changes
